It combines the project management features found in other platforms with the time tracking and financial capabilities of accounting software. Teamwork.com offers several essential features that enhance collaborative and cross-functional work. It also provides tools to identify areas for improvement and alerts you when budgets and tasks deviate from expectations.
Role assignment features
Teamwork.com enables you to create and manage various teams and subteams within your workspace. The extent of customization available for team management depends on your subscription plan.
You can assign names, handles, and logos to each team and link them to specific companies. This ensures that only individuals from the designated company can be added to the team, though members can belong to multiple teams, which offers flexibility.
For tasks or projects tied to specific company members or teams, you can establish subteams if you are on the Premium/Grow plan or higher. This allows you to assign tasks and milestones to entire teams rather than individual users, streamlining your workflow.
There are three user roles available:
- Standard: Full access to most features.
- Client: Nearly the same access as Standard users, but without the ability to add forms or administrator-level privileges.
- Collaborator: These users do not contribute to your subscription cost and are primarily observers with no permission to add content to the workspace.
Gantt charts
Gantt charts are not included in Teamwork.com’s free version but are available in the paid plans. The Gantt chart feature is interactive, allowing you to adjust project timelines and add tasks and milestones. While generally user-friendly, I encountered some difficulty with adding milestones. They are managed in a separate section, which made it challenging to view the project context while entering milestone details. Ideally, I would prefer a drag-and-drop interface for milestones that lets me fill out information with the project visible in the background.
Software integrations
Teamwork.com supports over 80 integrations with popular tools like G-Suite, Microsoft Office, and Zapier. Some integrations, such as Google Drive, QuickBooks, and Xero, can be accessed through regular use of the platform, while others need to be activated through your profile settings. Integration options are only available to administrators.
Task dependencies
Adding task dependencies in Teamwork.com is straightforward. In the task creation window, you can easily set dependencies by linking tasks. From the Gantt chart view, you can drag and drop dependencies, which creates a visual red line indicating which tasks must be completed first. The process can be challenging if tasks have distant due dates that make it hard to see the end of the bar.
Budgeting
Teamwork.com’s budgeting feature allows you to set either hourly or fixed-fee budgets for projects. You can define the budget amount, start and end dates, and specify if it’s based on billable, nonbillable time, or both. Budgets can be set to repeat at regular intervals and will automatically notify stakeholders as budgets approach set thresholds.
For more detailed tracking, you can allocate budget amounts to specific task lists and send targeted notifications. For example, I set up a monthly budget of $10,000 for a project, assigned rates to team members, and configured Teamwork.com to track daily spending on billable hours. This requires my team and me to log time spent on each task to ensure accurate budget tracking.
Security
Teamwork.com employs AES-256 encryption for data at rest, which is the industry standard for data protection. The platform provides transparency about its security measures, including how passwords are stored, the safeguards preventing unauthorized access by Teamwork.com employees, and the security protocols at its physical offices.
The service boasts an impressive 99.99% uptime, and each database undergoes a full backup every morning, with backups retained for a year.
Two-factor authentication (2FA) is available for all accounts, using Google Authenticator. However, the platform does not allow administrators to mandate 2FA for all users, potentially leaving some data vulnerable. Additionally, single sign-on (SSO) is only available through the Advanced Security add-on.
Ease of use
Teamwork.com is generally user-friendly, though some features are not immediately obvious or are located in less intuitive places. For instance, the Gantt chart tab is hidden by default in the top menu, making it less accessible. Similarly, the budgeting feature is nested under the "More…" option on the left menu, which can be cumbersome since it is an offshoot of invoices and requires more clicks to access.
Despite these quirks, Teamwork.com remains one of the more accessible project management tools available. Its settings are easy to navigate, projects are straightforward to initiate, and the built-in time tracking is user-friendly, though it may take some time to get accustomed to.
For automation, Teamwork.com offers a simple setup similar to other task management software. You can easily create automated actions by selecting conditions and triggers from drop-down menus, which is efficient for managing repetitive tasks.
However, with its extensive range of features, there's a risk of the workspace becoming chaotic if your team isn’t well-informed or trained. It's crucial to ensure that all employees and clients receive consistent training and understand the best practices for task management, including how tasks should be added, prioritized, and advanced.
Customer service and support
Teamwork.com offers customer support primarily through email or by submitting a ticket. The support team is available Monday through Friday from 7 a.m. to midnight India Standard Time (IST), with limited coverage on weekends. When submitting a ticket via the online contact form, you can prioritize your request as low, medium, or high.
A previous reviewer reported contacting support at 7:15 p.m. ET on a Thursday and receiving a response by 5:30 a.m. ET the next day. Despite this, I was unable to find a live chat option either on the platform or the website.
Beyond email and ticket support, Teamwork.com provides a comprehensive collection of resources, including tutorial videos, webinars, and knowledge base articles with screenshots. These resources are easily accessible from within the platform and offer a wealth of information for users seeking assistance.
